KEYBOARDING STUDY GUIDE

Here is a study guide for keyboarding:

1.  Know the homerow keys:  asdf jkl;. 

2.  Know how to center:  Hit center button and DS the body of the material.  The center button is on the home tab, look for a little box with lines in the center 

 3.  Know how to save to a disk/flash drive and how to open the file:  To save:  Put disk in drive or flashdrive in front slot; click on windows button at top left corner; click on save as; click on computer; double click on DVD/CDRW or F: (thumbdrive); change file name and click on save.

When you save a lesson or whatever it is called a file.

To Open:  Click on Windows button; click on open; click on DVD/CDRW or F: list of files should appear; click on file wanted; click on open.

4.  Memorandums:  Margins—2, 1,1 (top, left/right margin).  Know there are two kinds:  Formal and simplified.  Formal has TO:  FROM:  DATE:  SUBJECT: at the top.  They are the heading.  DS between each part. The paragaphs’s (body) is typed SS with a DS between each paragraph.  Simplified starts with the date then QS and then the receiver’s name DS then Subject DS then body.  After the body  QS for sender’s name and DS for reference initials.

5.  Letters–Personal Business Letter:  Margins of 2, 1, 1.  Begins with return address and followed by date.  QS  Inside/mailing address (who you are sending letter to).  DS  Salutation (greeting) DS then begin the paragraphs.  SS paragraphs and DS between each paragraph.  DS  Complimentary Close (closing)  QS then key sender’s name.  Enclosure may be used when including something in the letter.

6.  Business letter:  Margins are same as personal letter.  It begins with a DATE only. The rest is the same but after the sender’s name will be the reference initials, DS. then; enclosure and maybe a copy (represented by c.)

7.  xx in a letter means for you to replace xx with your own initials.

8.  Reports:  Heading:  Centered, bold, all caps, size 14.  DS after.  Paragraphs (body) of report.  Indented (tab) once for each new paragraph.  DS the body.  Side Heading may be included.  DS before and after a side heading (bold it).  Each page of a report is numbered in the upper right corner consecutively.  (ex.  1, 2, 3, etc.)  You must complete 1 page before beginning a new page.  DO NOT begin a new page when the text does. 

9.  Reference Page.  Numbered in upper right corner.  Heading is bold, centered, all caps, size 14.  DS after.  Each reference is SS.  DS between each reference.  Hanging indent the references.  (1st line at left margin, all other lines indented).  To hang indent:  Click on Paragraph under Home tab, then go down to SPECIAL and then click on arrow and click on Hanging and then OK.  Has a top margin of 2 inches and side margins of 1 inch)

10.  TABLES:  Tables may have a top/side margins of 2,1,1 or may be centered on the page.  To center on the page–go to Page Layout Tab, click on margins, customize, then click on Layout tab on menu box.  Go down to Page–Vertical Alignment and then click on center then OK.

11.  To make a table:  click on Insert and highlight the number of cells that makes a column and then down for the number of rows.  Remember that you can add a row by just hitting the tab key when you get to the bottom of the table and need more rows.

To merge cells–Highlight the row and then Layout tab under TABLE TOOLS and then click on the Merge box.  

To cell align (make data type in a certain area of the cell):  Highlight cells or entire table and under the Layout Tab click one of the boxes in the alignment box.  The same for shading and border.  ***Remember that you must pick the border before clicking on the border and All Border section.  Data is automatically left aligned unless told differently.

12.  Know your Proofreading marks.  Look in the back of the book if you need on R16.

13.  Envelopes:  The return address for both a small (size 6 3/4) and a large (10) envelope is both 0.25″ and 0.3″ in the upper left corner.  The mailing address changes.  For a small envelope, you come down 2″ (12 lines) and over 2 1/2″ or (25 spaces).  For a large envelope you will come down 2″ (12 lines) and over 4″ (40 spaces).  ***Remember to subtract the 2 blank lines and the number of lines in the return address from 12 to determine how many lines to go down to begin typing the mailing address for both envelopes.  Usually that means hit enter 7 times to begin the mailing address.

14.  Learn how to fold letters for the envelopes:  For a large envelope there are only 2 folds. For the small envelope, there are only 3 folds.  For a large envelope—fold the bottom 1/3 to cover the middle 1/3.  Then fold the top over the middle and leave about 2 lines from the fold.    For a small envelope—fold the bottom to about 2  lines from top edge.  Then fold the right 1/3 over to cover the middle 1/3.  Then fold the left to cover the middle fold.  Remember to leave about 2 lines from the right fold.

15.  The letter parts:  Return address/date (or date alone); Letter/mailing address; salutation; body; complimentary close; sender’s name and title (can be beside or underneath name); reference initials and enclosures.

16.  Know the different tabs used in Microsoft Office 07.
